Did you know that office supply fraud costs victims an estimated $200 million a year according to the Federal Trade Commission?

I was recently reminded that Toner Phoners are alive and well when I got a call from one of our customers asking me why they were invoiced $845.00 for a Xerox WC 4250 toner! We immediately knew that they had been scammed. We advised them to set the toner aside and refrain from paying the invoice associated with the fraudulent delivery. I recall another customer of ours a few years back who was tricked into receiving $3000.00 worth of toners and ended up paying for the invoice before we were able to advise them otherwise.

Who are Toner Phoners? They are telemarketers who have been trained to:
  • Attempt to obtain a name and address of an employee of at your company in order to ship out and bill you for unordered supplies often at obscenely higher amounts than the normal supplies pricing.
  • Call and collect information such as the model of your printers, your copiers with the pretext of “updating their records”
  • Misrepresent your regular supplier by using general statements to convince the end-user to agree and re-order without questioning price, quantity or brand.
  • Lure the end-user into accepting a Free Gift. The employee will then receive the Free Gift along with unordered supplies and an associated out-of-this-world invoice.
How can a business protect itself from these phony invoice scams?

Know your rights and train your employees accordingly. Designate specific people in your organization responsible for ordering supplies for your equipment. Before paying for invoices, confirm that the supplies were ordered, the pricing is correct and the product has been delivered
